Payment of graduate student RA tuition from grants: For payment of graduate student RA's tuition via your contract and grant you need to send a memo to Dianne Greene in the PAMS Research Business office. This memo only needs to be a couple of lines stating the pertinent information. You are only responsible for Tuition and not the fees, but if you wish to pay the fees please include that information in the memo.
Example:
Memo
To: Dianne Greene
From: Fred Smith
RE: Tuition
Please pay John Doe's tuition $YYY for the Fall 2002 Semester from my NSF Grant 5-/////.
If you need other information please contact me at 515-XXXX.
Fall Physics teaching. According to Registration and Records, the total credit hours taught by Physics this semester is officially 11,563.
GEM Fall Campus Visit. GEM, the National Consortium for Graduate Degrees for Minorities in Engineering and the Sciences address the continuing problem of under representation of ethnic minorities in graduate Engineering and Science.
GEM's fellowship programs span the entire recruitment, retention, and professional development spectrum. GEM's principal activity is the provision of graduate fellowships at the MS and PhD levels coupled with paid summer internships.
GEM's three fellowship programs are:
MS Engineering
PhD Engineering
PhD Science

Travel related issues: When purchasing electronic tickets be sure that you click the print receipt button, this provides the proof of payment that is acceptable to Travel Audit. Also provide your travel itinerary. These items will save time when processing a travel reimbursement.
Purchase requests related to GRANTS: Small purchase order numbers as opposed to Purchase requisition numbers.
Small Purchase Order numbers (purchases less than $5,000 including added taxes, shipping etc.) are given out by Wilma Gill. You need to provide the following information for her records:
PI,
grant number,
vendor,
amount to be spent
before she assigns a number. For these small purchases you will need to check on quotes and do the ordering. When the product is received you need to provide Wilma with the packing slip signed that the merchandise was received and the order is complete and ready for payment of the invoice.
Purchase Requisition, if the merchandise is over $5,000 then a Purchase Order number is required. The paperwork/quote will have to be sent to Wilma so that it can be entered into the Financials system first. Copies are faxed to purchasing for review. Purchasing will review the information, checking to make sure this is the most reasonable price. The Purchase Order number is then assigned and the order is placed.
Any other questions about grant related purchase procedures should be directed to the PAMS Research Office.
Compact Planning: Reminder to Faculty. Please be thinking about items you would like to prepare for the next round of compact planning. We will need a one to two page write up to submit to the first round of discussions. Deadline for the Department initiative is October 1. We will discuss proposal at the October 2nd faculty meeting. University instructions are posted at: www2.acs.ncsu.edu/UPA/compactplan/index.htm
Recent and Upcoming Travel
Chris Gould: to Sendai, Japan, to attend the KamLAND collaboration meeting; and to Oak Ridge, for the SNS fundamental neutron science program review.
Jacqueline Krim: to Fermilab, to present a colloquium entitled "Micromachines: These Squeaky Wheels will get no Grease"; and to Denali Park, Alaska, to present an invited talk on "Bridging the Gap between Macro- and nanotribology: vapor phase lubrication in Extreme Environments", at an International Workshop on Materials in Extreme Environments.
